1. Introduction
This Privacy Policy explains how the Mobility Master Inspection App (“the App”, “we”, “us”) collects, uses, shares, and protects personal and inspection data. By using the App, you agree to the practices described in this Privacy Policy.
2. Data We Collect
The App collects the following categories of data:
2.1 Local storage and offline functionality
To ensure the App works reliably in offline environments, some of the data described below is temporarily stored locally on the device. This applies to the data categories described in sections 2.2 to 2.5 (account information, inspection data, media data and signature data). This information is stored in a secure local database and is automatically synchronised with our backend systems once an internet connection becomes available.
The data in sections 2.2 to 2.5 may remain locally on the device until it has been successfully uploaded or as long as necessary for the App’s normal operation. The connectivity information described in section 2.6 is not stored offline and is only processed within the app as part of establishing and maintaining the network connection.
2.2 Account Information
Provided and managed by your employer or contracting organization:
- Username
- Password (encrypted)
- First name and last name
- Email address
- Roles and permissions
Users cannot modify profile data in the App; this can only be done in the backend system.
2.3 Inspection Data
Loaded from the backend based on customer agreements:
- Form fields and checklist data (text, selections, conditions)
- Notes, descriptions, and inspection results
- Manually recorded location (city/place)
- Timestamp of actions
2.4 Media Data (Camera)
When performing inspections, the App requests camera permission in order to capture:
- Photos of the vehicle or related objects
- Technical metadata (resolution, file size)
The App does not collect GPS location from photos (no EXIF location data is used).
2.5 Signature Data
When completing an inspection, the following information is collected:
- First name and last name
- Date and time of signing
- Location (city/place)
- Digital handwritten signature
- Role of signatory (inspector, vehicle user, or third party)
2.6 Connectivity Information
To ensure reliable upload, the app temporarily checks:
- Online/offline status
- Basic network quality (signal strength indicator only)
If the connection is weak, the upload is queued until a stable connection is available.

4. How We Use the Data
Data is used strictly for operational and functional purposes:
- To authenticate users
- To load assigned inspections based on permissions
- To capture inspection results, photos, and signatures
- To process and store inspection data in the backend
- To generate inspection reports and enable follow-up workflows
- To ensure secure and successful data upload
We do not use personal data for marketing, profiling, behavioral analytics, or advertising.
5. How We Share Data
We only share data in the following situations:
5.1 With Your Employer or Contracting Party
Inspection results (including photos and signatures) are shared with the organization that manages your account and handles the operational follow-up.
5.2 With Service Providers (Data Processors)
We may use EU-based third-party hosting or cloud infrastructure providers solely to run the backend system.
These providers:
- Are bound by strict data-processing agreements
- Act only as processors under EU law
- Have no independent rights to access, use, or retain data for their own purposes
5.3 Legal Compliance
Data may be disclosed if required:
- To comply with legal obligations
- To respond to lawful government requests
- To protect users, property, or rights
We never sell or commercialize personal data.
6. Data Storage & Retention
All data is stored on secure servers located within the European Union.
Data is retained only as long as necessary for operational, contractual, or legal purposes.
Locally stored data (e.g., pending uploads) is deleted automatically after successful upload as described in section 2.1.
7. Security Measures
We implement appropriate technical and organizational security controls, including:
- Encrypted data transmission (HTTPS)
- Encrypted password storage
- Strict access control based on user roles
- Logging of unauthorized access attempts
- Secure EU-based hosting infrastructure
No system is entirely risk-free, so users must keep login credentials confidential.
8. Children’s Privacy
The App is not designed for or marketed to children.
We do not knowingly collect data from children.
If the App is assigned to minors by a contracting organization, that organization is responsible for ensuring compliance with local child data protection laws.
9. User Rights
Depending on your jurisdiction, you may have the right to:
- Access your personal data
- Request correction or deletion
- Restrict or object to processing
- Request data portability
Requests related to user accounts must be submitted through your employer or contracting organization, who act as Data Controller.
Mobility Master supports these requests where required.
10. App Permissions
The App uses only the following permissions:
- Camera – Used to capture photos required for inspection. No video, audio, or background capture is performed.
- Storage (Files and Media) – Required to store inspection photos on the device so they can be accessed, saved, and uploaded when an internet connection becomes available.
- Internet Access – Required for logging in, downloading assigned inspections, uploading inspection data and photos, and checking internet connection quality.
The App does NOT request permissions for:
- Microphone
- Location / GPS
- Contacts
- Phone state
- Activity recognition
- Any other device sensors not mentioned above
This ensures minimal and transparent permission usage.
11. Changes to This Policy
This Privacy Policy may be updated periodically.
The latest version will always be accessible via an active URL and within the App.
